So, have you ever bought something totally unnecessary just because you couldn't find the item you already had somewhere lost in the house? This waste is more common than you might imagine, and it doesn't just happen in our homes. In fact, it is happening in Government and Institutional Relations teams.
Think about it: you invest in cutting-edge monitoring systems, hire renowned consultancies that send you information all the time, and yet you feel like you're missing something. Why?
The answer is simple, yet worrying: lack of organization of information. Every day, we are bombarded with an absurd amount of data. It is humanly impossible to process everything, and the risk is that fundamental details go unnoticed or are deliberately eliminated to avoid overload.
And here comes the warning: by ignoring these details, we run the risk of leaving essential information out of our strategies, compromising the desired results.
But calm down, there are solutions! And one of them is to treat information as we treat water in a dam. Some needs to be used immediately, while others can be stored for future use as the strategy advances. And how to do this?
Organizing information in a network!
Use a tool capable of organizing this information in a network. Instead of standard folders, where a document can only be in a single place, opt for a system that allows the multi-presence of a document.
Step 1: Start by creating what we call "management objects". These are like virtual labels for things you manage, whether they are stakeholders, propositions, regulatory requirements, and so on. Each of these "labels" will become a folder.
Step 2: All documents and data you receive — whether through curation, backstage information, or consultancy reports — must be associated with these management objects.
Step 3: To access the desired information, simply select the relevant management object and apply a temporal filter. You will quickly find what you are looking for!
And the best part: this organization can be done manually, semi-automatically, or even entirely automated. The chosen method will depend on your reality, but the essential thing is to maintain this daily process, ensuring that no detail is lost in the sea of information.
